Privacy Policy

How LFOS, The Law Firm Operating System, collects, uses, stores, and shares information, including the information you share with us when you sign in with Google.

Effective September 30, 2026

  1. Who we are

    LFOS is software for law firms, built on the method in The Law Firm Operating System. It is operated by 8 Figure Firm Consulting, LLC ("8 Figure Firm", "we", "us"). This policy covers thelawfirmoperatingsystem.com and the LFOS application.

    A law firm that uses LFOS decides which of its people and documents it brings into LFOS. We process that firm's information to provide LFOS to it.

  2. Information we collect

    We collect only what LFOS needs to work:

    • Account information. When you sign in with Google, we receive your name, email address, and profile picture. If you sign up with an email address and password instead, we receive the email address and the name you give.
    • Profile details you add, such as a preferred name, a work phone number, or a photo.
    • Firm information: your firm's profile, its departments, its members and their roles, invitations (including the invitee's email address), setup answers, Operating System Snapshot ratings, and the totals and Roadmap LFOS works out from them.
    • Documents your firm uploads, such as business plans, budgets, and policies, and the text and fields LFOS extracts from them.
    • Early access requests: your name, email address, law firm's name, firm size, and, if you choose to answer, what runs through you today that shouldn't.
    • Email records: which messages LFOS sent you and whether they were delivered.
    • Technical information: request logs, error reports, and page performance measurements (the page, browser, and type of device) that we use to keep LFOS working and secure. Error reports are stripped of email addresses, access tokens, and cookies before they leave your browser.
  3. Information we receive from Google

    If you choose Sign in with Google, Google shares your name, email address, and profile picture with LFOS, and confirms that you control that Google account. We ask Google only for this basic profile information; LFOS does not ask for access to your Gmail, Google Drive, Calendar, Contacts, or any other Google data.

    We use this information only to sign you in, to keep your account secure, and to show your name and picture to the people you work with in LFOS. We store it with our authentication provider, Clerk, and in your LFOS account record. We share it only with the service providers listed below that run LFOS for us, and only so they can do that.

    We do not sell Google user data, use it for advertising, or use it to train artificial intelligence models.

    LFOS's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

  4. How we use information

    We use information to:

    • provide LFOS: sign you in, show your firm its workspace, and let the right people see the right parts of it;
    • read the documents your firm uploads and turn them into structured drafts for your firm to review;
    • work out your firm's Operating System Snapshot totals and Roadmap, and, for your 8 Figure Firm consultant only, draft a short summary of how the firm's operating standards stand;
    • send the emails LFOS sends: invitations, sign-in notices, and the documents and notices your firm chooses to send;
    • respond to early access requests and to your messages;
    • keep LFOS secure, find and fix problems, and measure how well it performs.

    We do not sell personal information, and we do not use it for advertising.

  5. Service providers

    LFOS runs on the following services. Each processes information only to provide its part of LFOS:

    • Clerk: sign-in and account management.
    • Google: Sign in with Google, if you choose it.
    • Neon: the database that holds LFOS records.
    • Cloudflare: the servers that run LFOS, the storage that holds uploaded documents, and error and performance reports.
    • Vercel: hosting for the LFOS website, including its server logs, which record early access requests as they arrive.
    • LlamaIndex (LlamaCloud): reading uploaded documents and extracting their text, in its United States region. LFOS deletes each document from LlamaCloud once it has been read.
    • OpenRouter: the artificial intelligence model that drafts the summary of a firm's operating standards for its 8 Figure Firm consultant. The summary is never shown to the firm. It receives the firm's ratings, not your uploaded documents or your Google information.
    • Resend: delivering the emails LFOS sends, including the notice that tells our team about a new early access request.
    • HubSpot: our customer relationship system, which receives early access requests so our team can follow up on them.

    We may also disclose information when the law requires it, to protect the rights and safety of people and of LFOS, or as part of a merger or sale of the business, in which case this policy continues to apply to it.

  6. Cookies

    LFOS uses cookies only to keep you signed in, to carry an invitation or acknowledgement link through sign-in, to remember the firm a consultant has chosen to view, and to remember whether the sidebar is open. LFOS uses no advertising or third-party tracking cookies.

  7. Retention and deletion

    A firm's records are kept for as long as the firm uses LFOS and afterwards, so the firm's history stays intact: a firm that stops using LFOS is retired and then archived, not deleted.

    If your account is deleted, LFOS clears your name, email address, and photo from its account record. The records your firm keeps about work you did in it stay with your firm.

    To ask for your account to be deleted, or for a copy of your information, email info@8figurefirm.com. If your firm manages your account, we may involve the firm before we act.

  8. Security

    Information is encrypted in transit. Access inside LFOS is decided by each person's role in their firm, and every action that changes a firm's records is recorded. No system is perfectly secure, and we cannot promise that information will never be accessed without authorization.

  9. Children

    LFOS is a business service for law firms. It is not directed to children, and we do not knowingly collect information from anyone under 16.

  10. Changes to this policy

    If we change this policy, we will post the new version on this page with a new effective date. If a change is significant, we will also tell account holders by email or in LFOS before it takes effect.
